Privacy notice
What this service keeps, why, for how long, and how to delete it.
Who runs it
Murdoch Revert, an independent equipment and procurement consultant trading as Fincham, based in the UK. Contact: fincham.solutions@gmail.com.
What is kept
- Your account: email, name and organisation if you give them, and your password, stored only in a scrambled form that cannot be turned back into the password.
- Payments: card payments are taken by Square. This service never sees your card details; it keeps only the amount, the date and whether the payment completed.
- What you type into the form: your organisation, the equipment, the quote figures and the site details. Your name and email only if you give them.
- The report produced from it.
- If you use the equipment register: the equipment you list, its dates and status, and your organisation's name. It is opened only with your private link, and the link's key is stored in a form that cannot be read back.
- Feedback and re-check answers you choose to send.
- Emails: only if you tick the box (report link, and reminders at 6 and 12 months) or give an alert address for a register (at most one a month). Every email has an unsubscribe link. Sent through Resend, an email delivery service.
- Uploaded quotes are not stored. The file is read once to fill in the form, then discarded. What you confirm in the form is kept.
Why
- To produce the report you asked for, and to let you open it again from its link.
- Only if you tick the box: to improve the price and running-cost benchmarks for future checks. Your figures are then used only in totals across three or more checks of the same kind. Your name, organisation and individual prices are never shown to anyone else.
Who else processes it
- Anthropic (the AI provider): if you upload a quote, or if a written assessment is produced, the quote or the report's facts are sent to Anthropic's API to be read or written up. Your name and email are never sent.
- Square processes payments, under its own privacy policy.
- The European Central Bank provides exchange rates. Nothing about you is sent to it.
- Nothing is sold, and nothing is shared with any equipment seller.
How long it is kept
- Reports you did not share for learning are deleted after 12 months.
- Reports you shared are kept for the benchmarks, but your name and email are removed after 12 months.
- An equipment register is kept until you delete it with the button on the register page, or ask by email.
- Your account is kept until you delete it from your account page. Accounts not used for two years are deleted, with everything in them.
- Backups are kept for 14 days.
Deleting your data
Each report has a Delete my data button, shown in the browser you used to create it. Or email fincham.solutions@gmail.com with the report reference, and it will be deleted within 30 days. You can also ask for a copy of what is held about you.
If you are unhappy with how your data is handled, you can complain to the UK Information Commissioner's Office at ico.org.uk.
